Migrate from Instantly to Smartlead without damaging deliverability
Cold-email platform migrations can expose the same inboxes to duplicate sends or sudden volume changes. First compare the existing subscription and contact volume in Switch & Save. A lower platform fee does not compensate for damaged sender reputation.
Preserve safety data
Export campaigns, prospects, replies, bounces, unsubscribes, suppression lists and sending-account assignments. Keep stable prospect IDs where possible. Import suppressions before active prospects so opted-out or bounced addresses cannot re-enter a sequence.
Inventory domains, inboxes, DNS authentication and current daily limits. Do not change providers, domains and sending volume at the same time.
Rebuild one campaign first
- Connect a small group of inboxes to Smartlead.
- Verify DNS and connection health.
- Import suppression data.
- Recreate one paused campaign, including variants, delays and stop-on-reply behavior.
- Add a small internal or controlled prospect batch.
Check personalization, links, threading, reply detection and CRM/webhook events. Start below previous volume and increase only when bounce and reply processing remain normal.
Match capacity to the workload
Estimate active leads and monthly sends, then use the Smartlead plan finder. Capacity fields are not interchangeable: a plan may support the lead count but still have a different send allowance or inbox limit. Verify the vendor page before purchase.
Rollback and prevent double sending
Pause the migrated campaign in Instantly before activating it in Smartlead. Search both systems for the same prospects and confirm ownership of replies. Keep the old data accessible until open replies, booked meetings and suppression events are reconciled.
