Migrate from HubSpot to ActiveCampaign in controlled stages
Moving from HubSpot to ActiveCampaign is not a simple contact export. Deals, owners, lifecycle stages, forms and automation logic all need an explicit destination. Start by checking whether the projected saving in Switch & Save is large enough to justify that work.
Inventory the system
List every active property, list, pipeline, form, report, integration and workflow. Mark the system of record for contacts and deals. Identify anything that depends on a HubSpot-specific object or app before assuming it can move.
Export contacts, companies and deals with stable IDs. Preserve subscription status and consent evidence. Create a mapping sheet from each HubSpot property to its ActiveCampaign field, tag, list, account or deal field.
Build a clean destination
- Configure users, permissions, domains and sending authentication.
- Create fields, pipelines and stages before importing records.
- Import suppression and unsubscribe data.
- Test a small contact and deal batch, including ownership and relationships.
- Rebuild one automation and compare its triggers, waits and exits against the original.
Use real but non-sensitive test scenarios: a new lead, an updated deal, an unsubscribe and a bounced address. Check downstream integrations after each scenario.
Size the plan
Contact count is a primary input for this category. Put the number of marketable contacts and expected growth into the ActiveCampaign plan finder. Confirm required features separately; the lowest capacity tier is not necessarily the right feature tier.
Cut over without a blind spot
Choose a quiet window. Freeze schema changes, pause duplicate workflows and document which platform owns new records. Keep HubSpot accessible until historical data, reports and integrations are verified. Maintain a manual lead-routing path during the first business cycle.
